Asset Import Wizard<\/h2>

Import assets into Onflo using the 4-step import wizard.<\/h3>

Overview<\/b><\/h4>

The Asset Import Wizard lets you bring a large set of assets into Onflo from a spreadsheet or a shared cloud link. You can find it under <\/span>Assets \u2192 Asset Imports<\/b>. The wizard moves through four steps, shown as a stepper at the top of the screen:<\/p>

  1. File Upload<\/strong> - name the import, optionally pick a configuration, and upload your file (or paste a Google Sheet \/ OneDrive URL).<\/li>
  2. Column Mapping<\/strong> - set the import rules and map each Onflo asset field to a column in your file.<\/li>
  3. Data Mapping<\/strong> \u2014 match the values in your file (asset types, manufacturers, models, etc.) to the matching records that already exist in Onflo.<\/li>

    Key Features<\/h4>
    • Two ways to bring in data: upload a CSV \/ XLSX \/ XLS file, or paste a Google Sheet or OneDrive link.<\/li>
    • Optional configuration: apply a saved configuration to pre-fill all rules and mappings (see Section 2).<\/li>

      Prerequisites<\/h4>
      • A data file in CSV<\/strong>, XLSX<\/strong>, or XLS<\/strong> format, up to 100<\/strong> MB<\/strong>.<\/li>
      • If using a cloud link, the sheet\u2019s sharing must be set to \u201cAnyone with the link can view.<\/strong>\u201d<\/li>
      • Columns for the required<\/strong> asset fields: Asset Name, Asset Type, Manufacturer, and Model.<\/li>
      • Optional: download the Sample Template<\/strong> from the File Upload step to start from the exact column names Onflo expects.<\/li><\/ul>
        Example: a minimal valid file<\/b><\/div>
        A file with the columns Asset Name<\/b>, Asset Type<\/b>, Manufacturer<\/b>, Model<\/b> and one row such as \u201cYFL-222 #0010, Band Instrument, Yamaha, YFL-222\u201d will import successfully.\u00a0<\/div>
        Extra columns your file may contain (notes, internal codes, and so on) that aren\u2019t mapped are simply ignored.         Assigning Assets<\/h4>

        Onflo can assign each imported asset to a <\/span>person<\/b> or to a <\/span>location<\/b>. The asset template includes five columns for this: <\/span>Assignment Type, Person, Building, Room,<\/b> and <\/span>Container<\/b>. The value in <\/span>Assignment Type<\/b> tells Onflo what the asset is assigned to \u2014 you then fill in only the column(s) that match that type.<\/span><\/p>

        Locations follow a hierarchy:\u00a0<\/span>Building \u203a Room \u203a Container<\/b> \u2014 so assigning an asset to a Room or a Container also requires its parent location(s).<\/span><\/p>

        Set <\/span>Assignment Type<\/b> to one of four values and fill the matching column(s):<\/span><\/p>

        • Person:<\/b>\u00a0enter the person\u2019s <\/span>name, email, or User ID<\/b> in the <\/span>Person<\/b> column. This must match the name \/ email \/ User ID in your SIS data. Leave Building, Room, and Container empty.<\/span><\/li>
        • Building:<\/b>\u00a0enter the building\u2019s name in the <\/span>Building<\/b> column (for example, \u201cAdmin Building\u201d). Leave the other columns empty.<\/span><\/li>
        • Room:<\/b>\u00a0enter both the <\/span>Building<\/b> and the <\/span>Room<\/b> (for example, \u201cAdmin Building\u201d and \u201cRM101\u201d), because a room sits inside a building. Leave Person and Container empty.<\/span><\/li>
        • Container:<\/b>\u00a0enter the <\/span>Building<\/b>, <\/span>Room<\/b>, and <\/span>Container<\/b> (for example, \u201cAdmin Building\u201d, \u201cRM101\u201d, and \u201cMain Container\u201d), because a container sits inside a room, which sits inside a building. Leave Person empty.<\/span><\/li><\/ul>

          Values must match the portal\u2019s options exactly \u2014 watch for spelling and case.           Step-by-step<\/h4>

          Step 1: File Upload<\/u><\/strong><\/p>

          • Enter an\u00a0Import Name<\/b>. Onflo defaults it to \u201cAsset Import [today\u2019s date]\u201d (for example, \u201cAsset Import 16\/06\/2026\u201d); change it to something you\u2019ll recognize later.<\/li>
          • Optionally choose a saved configuration under\u00a0Select Configuration (Optional)<\/b>. Leave it as \u201c\u2014 No Configuration \u2014\u201d to map everything manually.<\/li>
          • Upload your data: either\u00a0Click to upload or drag and drop<\/b>\u00a0a CSV \/ XLSX \/ XLS file,\u00a0OR<\/b>\u00a0paste a Google Sheet \/ OneDrive link under\u00a0Enter Google Sheet\/OneDrive URL<\/b>.<\/li>
          • If it\u2019s your first import, click\u00a0Download Sample Template<\/b>\u00a0for a pre-formatted starting file.<\/li>

            Step 2: Column Mapping<\/u><\/strong><\/p>

            This step has two parts: the <\/span>Column Mapping Rules<\/b> panel at the top, and the field mapping table below it.<\/span><\/p>

            Column Mapping Rules<\/b> control how the import behaves:<\/span><\/p>

            • Update existing assets?<\/b> \u2014 when on, matched assets are updated; when off, existing assets are left untouched and only new ones are created.<\/span><\/li>
            • Match Key<\/b> \u2014 how Onflo decides whether an incoming row is the same asset that already exists. Options: <\/span>Match by Serial Number<\/b>, <\/span>Match by Asset ID<\/b>, or <\/span>Match by Serial Number and Asset ID<\/b>.<\/span><\/li>
            • Duplicate Rule<\/b> \u2014 <\/span>Merge<\/b> updates only the fields that have a value in your file; <\/span>Overwrite<\/b> replaces every mapped field, including blanks.<\/span><\/li>
            • Run Workflow Rules on Import<\/b> \u2014 when on, your automation rules run against the imported records.<\/span><\/li>
            • Max errors before aborting<\/b> \u2014 a number plus an <\/span>Errors \/ % of rows<\/b> toggle.               The mapping table lists every Onflo asset field with these columns: <\/span>Onflo Asset Fields, Type, Incoming Header, Sample Values, and Transform<\/b>.<\/span><\/p>

              • Use the <\/span>Incoming Header<\/b> dropdown on each row to pick the column from your file that feeds that Onflo field.<\/span><\/li>
              • Required<\/b> fields \u2014 Asset Name, Asset Type, Manufacturer, and Model \u2014 are locked checked and must be mapped.<\/span><\/li>
              • Sample Values<\/b> previews real values from your file so you can confirm the mapping is right (for example, Asset Status shows \u201cIn Use, In Use, Disposed\u2026\u201d).<\/span><\/li>
              • Transform<\/b> is available on <\/span>Text<\/b> fields only and offers <\/span>None, Title Case, Uppercase,<\/b> or <\/span>Lowercase<\/b>.                 Step 3: Data Mapping<\/strong><\/span><\/p>

                Data Mapping matches the values in your file to the records that already exist in Onflo. The left sidebar lists each data type (Asset Type, Manufacturer, Model, Asset Status, Supplier, Funding Source, Assignment Type, Building, Room) with an <\/span>X\/Y mapped<\/b> count. Selecting a type shows its values on the right.<\/span><\/p>

                • Auto-mapped<\/b> values are matched for you \u2014 for example, \u201c59 auto-mapped\u201d with the banner \u201cAll values mapped \u2014 you\u2019re all set.\u201d<\/span><\/li>
                • Unmapped Values<\/b> lists anything Onflo couldn\u2019t match, for you to map by hand.<\/span><\/li>
                • Hierarchies are respected: a <\/span>Model<\/b> is mapped under its <\/span>Manufacturer<\/b> (for example, the incoming value \u201cYFL-222 \u203a Yamaha\u201d maps to Manufacturer \u201cYamaha\u201d and Model \u201cYFL-222\u201d).<\/span><\/li><\/ul>\t\t\t\t\t\t\t\t<\/div>\n\t\t\t\t<\/div>\n\t\t\t\t\t<\/div>\n\t\t<\/div>\n\t\t\t\t

                  Step 4: Review<\/strong><\/span><\/p>

                  • Check the Data Preview \u2014 values shown as they will appear in Onflo before import. Watch for misaligned columns or unexpected blanks.<\/li>
                  • Use Search By Asset ID and Serial Number to spot-check a specific record.<\/li>
                  • Review the Import Metadata block: Import Name, File, Duplicate Rule, Run Workflow Rules on Import, Match Key, Max Errors, Configuration Name, Columns Mapped, and Records.<\/li>
                  • Optionally open More Actions \u25be to Pause the import or Save Configuration (saves your current rules and mappings for reuse \u2014 see Section 3).<\/li>

                    After the import<\/b><\/h4>

                    When the import finishes, its row in <\/span>Import History<\/b> shows a status of <\/span>Complete<\/b> (or <\/span>Failed<\/b> if it could not finish). Opening the import shows the <\/span>Import Details<\/b> page with three stat cards \u2014 <\/span>Created, Updated,<\/b> and <\/span>Errors<\/b> \u2014 alongside the full Import Metadata.<\/span><\/p>

                    Example: reading the result<\/b><\/p>

                    An import of 5,000 records that shows <\/span>Created 0, Updated 4,849, Errors 151<\/b> means every matched asset was updated (none were new) and 151 rows could not be processed.                     FAQ<\/b><\/h4>

                    Is choosing a configuration required?<\/i><\/b><\/p>

                    No. A configuration is optional and simply pre-fills your rules and mappings. You can leave it as \u201c\u2014 No Configuration \u2014\u201d and map everything manually.<\/span><\/p>

                    What\u2019s the difference between Merge and Overwrite?<\/i><\/b><\/p>

                    Merge<\/b> only updates the fields that have a value in your file, leaving everything else as-is. <\/span>Overwrite<\/b> replaces every mapped field, including ones left blank in your file.<\/span><\/p>

                    What does the Match Key control?<\/i><\/b><\/p>

                    It decides how Onflo recognizes an existing asset. If the Match Key is wrong, you\u2019ll usually see it on the results \u2014 everything created (nothing matched) or everything updated (everything matched).<\/span><\/p>

                    Can I pause and finish later?<\/i><\/b><\/p>

                    Yes. Use <\/span>Pause<\/b> (in the footer or under More Actions). The import is saved as a draft and appears with a <\/span>Paused<\/b> status in Import History with a <\/span>Continue<\/b> action to resume it.<\/span><\/p>

                    Where do errors go?<\/i><\/b><\/p>

                    Failed rows are counted on the Import Details page and can be exported with <\/span>Download Errors<\/b>.<\/span><\/p>

                    Troubleshooting<\/b><\/h4>
